Getting started

Where do I find my portal?

Your portal lives at app.walio.cz/portal/<your-slug>, where the slug is a short name for your venue (e.g. “kavarna-nova”). You activate access from the “Portal invitation” e-mail we sent when you finished signing up.

  1. Open the “Portal invitation” e-mail and click “Set password and sign in”.
  2. Set your password – that takes you straight into the portal.
  3. If the link has expired (it is valid for 24 hours), enter the e-mail from the invitation on the account activation page and a new link arrives right away.
  4. Next time, sign in at app.walio.cz with your e-mail and password.

What are the bell and the question mark in the portal header?

The bell has two tabs: “Needs you” lists tasks for you (reservations to confirm, a card limit you've gone over, push campaigns used up for the month, a venue waiting for payment or celebrations to review), and a task disappears on its own once you've dealt with it; “What's new” shows what's new in Walio, and the number on the bell counts tasks and unread updates together. The question mark leads to this help, the “Write to us” form, and support's e-mail and phone. You can log out in Settings.

How do I design the card?

You design the card in Settings on the “Card” tab. At the top there is a live preview for iPhone and Android – what you see there is what customers get in Wallet once you save.

  1. In Settings, open the “Card” tab.
  2. Upload your logo and, optionally, a square notification icon.
  3. Pick the “Background color” and “Text color”.
  4. Under “Stamp”, choose a symbol (or upload your own), set how many stamps lead to the reward and describe it in the “Reward” field.
  5. Click “Save card settings” – your customers' cards update automatically.

How fast can I launch the loyalty programme?

About 15 minutes from finishing the sign-up. After your first sign-in a four-step wizard walks you through the setup, and then you just share the card link.

  1. In “Logo and colors”, upload your logo and pick the card colours.
  2. In “Stamp”, choose the symbol customers collect for each visit.
  3. In “Goal and reward”, set the number of stamps (e.g. 10) and the reward (e.g. “Free coffee”).
  4. In “Registration page”, choose which details you ask customers for and click “Finish”.
  5. In Overview, under “Share the card with your customers”, print the counter stand or copy the card link.

How do I get the first 50 customers onto the card?

Most cards come from a QR code at the till that your staff actively offer with one sentence at payment. With 30 customers a day, you'll have 50 cards within a few days.

  1. In Overview, under “Share the card with your customers”, click “Print the counter stand” and put it by the till.
  2. Ask your staff to say something like this at every payment: “We collect stamps – scan the QR and your tenth coffee is free.”
  3. In the “Automation” tab, under “After getting the card”, turn on the welcome notification so every new customer gets a greeting right away.
  4. Share the card link from the same section on your website and social media too.

Day to day

How do I set up scanning at the till?

The scanner is a page you pair once with your staff's phone or tablet; the device stays paired, so staff never sign in and cannot reach your data in the portal. You manage paired devices in Settings on the “Scanner” tab. How many you can have depends on your plan: Free 1, Start 2, Growth 4 plus another 4 for each paid venue, and unlimited on Pro.

  1. In Settings, open the “Scanner” tab and click “Add scanning device (QR)”; if you have several venues, first choose which one the scanner belongs to.
  2. On the staff device, open the camera and scan the QR code shown (it is valid for 10 minutes).
  3. Tap the link, enter a scanner name (e.g. “Till 1”) and tap “Pair”.
  4. Add the scanner to the staff device's home screen using the iPhone or Android steps in the “How to set up the scanner” guide on the same tab.

Do I need special hardware?

No. Any phone or tablet with a camera and a browser will do: the customer shows the card in Wallet, staff point the camera at the code and the stamp is added.

What if I have no internet at the till?

Scanning needs a connection because every stamp is saved online. Mobile data on the staff device can bridge a short outage, but long term you need a stable connection.

How does a customer get the card?

They scan the QR code at your venue or open the card link, fill in their first name, last name and e-mail (plus any other details you ask for) and add the card to Apple or Google Wallet. It all takes under 30 seconds.

  1. In Overview, under “Share the card with your customers”, print the counter stand with the QR code or copy the card link.
  2. In Settings, on the “Registration” tab, choose whether to also ask for a date of birth, phone number or interests.

Where do I see the list of my customers?

In Overview, in the list of card holders. For each one you see their e-mail, sign-up date, number of visits and tags; the customer detail adds their stamps, claimed rewards and scan history.

  1. Open the “Overview” tab and scroll down to the customer list.
  2. Find a customer with the “Search name or email…” field, or click a tag to show everyone who has it.
  3. Click a customer to open their detail.
  4. Download the whole list with “Download CSV”.

What if a customer loses their phone?

Stamps are tied to the customer's e-mail, not the phone. When they add the card again through the same link with the same e-mail, they get the very same card with its stamps.

  1. Send the customer the card link from Overview (“Share the card with your customers”), or have them scan the QR code at the till.
  2. Remind them to enter the same e-mail as the first time.
  3. If they used a different e-mail and got a new card, find it in Overview and top up the stamps under “Add stamps” in the customer detail.
  4. Then void the old card in its detail with “Void card”.

Can a customer keep the card on more than one device?

Yes. On an iPhone the card also shows up on a paired Apple Watch by itself, and on another phone the customer adds it through the same link and the same e-mail – they get the very same card with the same stamps, and it counts once towards your plan limit. If they use a different e-mail, they get a new card with no stamps.

Can I delete a customer?

Yes. The customer disappears from your list and their card in Wallet switches to voided, so it can no longer collect stamps; they remove it from their phone themselves, and their visit history stays in your statistics.

  1. In Overview, open the customer's detail.
  2. Click “Delete customer”.
  3. Confirm with “Yes, delete”.
  4. If you deleted them by mistake, find them via “Search voided cards” and restore them in the detail with “Restore card”.

Which language will a foreign guest see the card in?

The card sign-up page offers Czech, Slovak and English based on the guest's phone language, and the guest can switch it; the chosen language is then used for the system texts on the Wallet card, notifications, e-mails, coupons and tickets. Whatever you wrote yourself (business name, reward, coupon names and message texts) stays exactly as you wrote it – we don't translate it for you. The offered languages are not set in the portal; to hide one or change the default, write to us at podpora@walio.cz.

Push campaigns

Can I send messages to customers?

Yes, as a push notification that appears on the customer's lock screen next to the card in Wallet. How many campaigns you can send per month depends on your plan.

  1. Open the “Notifications” tab.
  2. Fill in the “Title” and “Notification text”, or start from a ready-made template.
  3. Under “Recipient segment”, choose who gets the message.
  4. Click “Send now”, or fill in “Send date and time” and click “Schedule”.

When is the best time to send a push?

Manual campaigns go out whenever you choose; they work best on weekday mornings (7:30–9:30) or afternoons (14:00–17:00). Automated messages go out once a day in the morning, and the welcome message right after the card is added.

  1. Prepare your message in the “Notifications” tab.
  2. Enter a time in “Send date and time”, or use a quick option such as “Tomorrow 9:00”.
  3. Click “Schedule”.

How do I sort customers by interest and target messages at them?

Creating, collecting and assigning tags works on every plan, so it pays to start now; sending a campaign by tags or giving automations different texts per tag is part of the Pro plan. Behaviour-based segments such as “New customers”, “Inactive”, “VIP (right now)” or “At risk of leaving” are available from the Growth plan.

  1. In Settings, on the “Registration” tab, create tags in the “Tags (customer interests)” section.
  2. For tags customers should pick themselves, switch on “at registration” and turn on “Ask about interests”.
  3. Assign internal tags in the customer list in Overview, in bulk via “Select”.
  4. When writing a campaign in “Notifications”, choose “By tags” and pick the tags (Pro plan).

We have several venues – can we message just one?From the Growth plan

Yes. In the campaign form, under “Locations”, you pick only the venues the message concerns and see the recipient count right away; this combines with segments and tags.

  1. Write your message in the “Notifications” tab.
  2. Under “Locations”, choose “Selected only” and tick the venues.
  3. Under “Which customers of this venue?”, pick “Were here last” (whoever last scanned there), “Come here regularly” (where they go most often over the past three months) or “They chose it” (whoever picked it at sign-up or came back a second time).
  4. Anyone who has never scanned belongs to no venue – reach those customers with “Everyone”.

Automations and reviews

What are automations?

Automations are messages that send themselves based on customer behaviour: a welcome after the card is added, a reminder when one stamp is missing, a nudge towards a second visit, a message to anyone who hasn't come in for a while (21 days by default), a reminder of an unclaimed reward, birthdays, card anniversaries, a review request, or a reminder that a coupon is about to expire. You switch each one on with a single toggle in the “Automation” tab and can edit its text. The welcome is on every plan, most others from the Growth plan, and birthdays and anniversaries on the Pro plan.

What do the automations I have switched on do?

Two key ones are on from the start: a reminder in the “One step from a reward” group (the customer is one stamp short and hasn't been in for a few days) and a nudge in the “When they haven't shown up in a while” group (anyone away longer than you set). They run on their own, send each customer at most one message a day, and go out from the Growth plan – on a lower plan they stay switched on but send nothing.

  1. Open the “Automation” tab.
  2. In the “One step from a reward” or “When they haven't shown up in a while” group, switch the automation on or off with its toggle.
  3. Edit the “Message text”, or restore it with “Reset to default”.
  4. For the comeback nudge, set how long to wait in “Days since last visit”.

How does the “Collecting reviews” automation work?From the Growth plan

After the number of visits you set (4 by default), Walio sends customers a push with a link to a short rating page, and an e-mail too where we know their address: a happy customer (😐/😍) goes straight to the Google review, an unhappy one (😞) writes private feedback that is e-mailed to you and never reaches Google. We ask any customer at most twice a year; the automation is available from the Growth plan.

  1. In the “Automation” tab, find the “Collecting reviews” group.
  2. Type your business name into “Your venue on Google” and pick it from the list.
  3. Set the threshold in “After how many visits should we ask?”.
  4. To send only the push, turn off “Send the request by email too”.
  5. Switch the automation on with its toggle.

Where do I get the Google review link?

Nowhere – you never even need to see it. Just pick your business from Google Maps and we build the link that opens the review form directly for the customer; without this connection no review requests are sent.

  1. In the “Automation” tab, in the “Collecting reviews” group, type your business name into “Your venue on Google”.
  2. Pick your business from the Google Maps list – “Connected to Google” appears.
  3. Verify the connection with the “Check →” link, or pick another business with “Change”.
  4. If you can't find your business, click “Can't find your business? Paste the link manually” and paste the link.
  5. For another venue, fill in “This branch on Google” in Settings on the “Profile” tab, in the “Venues” section (the “Edit” button).

What does Autopilot do and how do I turn it on?Pro plan

Autopilot decides on its own whom to contact, when and with what so they come back: it sends a nearly-there reminder, an invitation for a second visit or a nudge to return, leaves happy regulars alone and never sends anyone more than two messages a month. It is part of the Pro plan, and the other automations (birthdays, review requests, unclaimed rewards and more) keep running alongside it.

  1. In the “Automation” tab, turn on the switch on the “Autopilot” card at the top.
  2. Choose your “Business type” so Autopilot can better estimate your customers' rhythm.
  3. Fine-tune its three messages with “Edit message texts”.
  4. The automations it takes over are marked “Handled by Autopilot”; the card then shows what it has done and how many contacted customers came back within 30 days.

Selling more: vouchers, tickets, reservations

How do I sell gift vouchers?From the Growth plan

A gift voucher is a prepaid amount that is drawn down as it is spent, valid for one year from issue. You take the payment yourself at the till; the feature is available from the Growth plan.

  1. In the “Vouchers” tab, expand the “Gift vouchers” section and click “Turn on gift vouchers”.
  2. Once the voucher is paid, enter the amount in “Issue a voucher for” and click “Issue”.
  3. The buyer scans the QR code, or you send them the link with “Send by e-mail”.
  4. For staff to sell vouchers on the scanner too, add at least one amount under “Amounts for selling a voucher at the counter”.
  5. At payment, staff scan the voucher and enter the amount spent; the rest stays on the voucher.

How do I create and send a discount coupon?From the Growth plan

The customer saves the coupon to Wallet, staff scan it with the scanner when it is used, and each customer can redeem it only once; for each coupon you see how many were issued and redeemed. Coupons are available from the Growth plan, and you can turn on a reminder before a coupon expires in the “Automation” tab, in the “Vouchers” group.

  1. In the “Vouchers” tab, click “+ New coupon”.
  2. Fill in the name and choose the discount type: “Discount in %”, “Discount in Kč”, “Gift / Free” or “Custom”.
  3. Optionally fill in “Valid until (optional)” and “Total redemptions”, then click “Create coupon”.
  4. Use “Share” to get the link and QR code.
  5. Use “Send out” to push the coupon to a segment or to specific people, right away or scheduled; anyone who left you their e-mail gets it in their inbox too.

How do I sell tickets for events?

Ticket sales are available on every plan; tickets go straight into Apple and Google Wallet, and at the door you check them in with the same scanner you use for loyalty cards. Paid events are sold by card through Stripe, and the service fee is paid by the buyer.

  1. In Settings, on the “Profile” tab, turn on “Events and tickets” – an “Events” tab appears in the portal.
  2. For paid events, first click “Connect Stripe” in the “Events” tab and complete your details.
  3. Click “+ New event” and fill in the name, date, place, capacity, type (“One-off” or “Course (multiple sessions)”) and price (0 = free).
  4. Confirm with “Create event”.
  5. In the event detail you can add several “Ticket types” with their own price and capacity; “Entries” turns a ticket into a multi-day pass (at most one entry a day) and “Valid day” limits it to a single day.

How do I turn on online reservations?From the Start plan

Reservations are available from the Start plan: guests book through your public booking page and get an e-mail reminder a day before and about two hours before. From the Growth plan you can turn on “Advanced mode” for salons (services with specific staff members), and payment in advance is part of the Pro plan.

  1. In Settings, on the “Profile” tab, turn on the “Reservations” switch – a “Reservations” tab appears in the portal.
  2. There, click “Settings” next to “+ Reservation”.
  3. Add your tables or other places under “Tables” and set the “Opening hours” and “Time step”.
  4. To confirm every booking yourself first, turn on “Approve reservations first”.
  5. Put the link from the “Booking page” row on your website or social media.

Multiple locations

How do I add another venue?From the Growth plan

Additional venues are available from the Growth plan and each is billed monthly on top of your plan – the price is shown right in the form. The loyalty card works in all your venues, but each has its own sign-up QR code, scanners and statistics; on the Growth plan every paid venue adds 4 scanning devices and also raises your card limit, and on Pro scanners are unlimited.

  1. Open Settings → Profile and scroll to the “Venues” section.
  2. Click “+ Add venue”.
  3. Fill in “Venue name” (the address is optional) and confirm with “Add venue”.
  4. If you pay by invoice, click “Open the document to pay” next to the new venue and pay the proforma invoice; if you pay by card, the pro-rated amount to the end of the period is charged automatically.
  5. In Settings → Scanner, assign a scanner to the venue in “Venue for the new scanner”, or choose “Staff picks” for a device used at several venues.
  6. You can rename your main venue with “Edit name” – this does not change the name on the card or in push notifications.

How do I tell which venue a customer belongs to?From the Growth plan

In the customer list in Overview, each customer has a tag with their home venue – the one they visited most often over the past 90 days; anyone who hasn't come in yet belongs where they got their card. If they were somewhere else last time, you'll also see a grey “last at …”, but a single visit doesn't change their home venue.

  1. Print a separate QR code for each venue with “Print QR” in Settings → Profile → “Venues” – whoever signs up through it belongs to that venue.
  2. In Overview, open a customer's detail and mark the venues they are interested in under “Venues” (this is also filled in automatically after a second visit to a venue).
  3. If you want customers to pick venues themselves, turn on “Ask about venues” in Settings → Registration.

One person works across several venues – how do we set that up?From the Growth plan

Set the device to “Staff picks”: staff then choose where they are before scanning, and the chosen venue stays visible above the scanner. The scanner asks again every new day and after six hours at the latest – not for every customer; a device set to a fixed venue always records scans under that venue.

  1. Open Settings → Scanner.
  2. For a new device, choose “Staff picks” in “Venue for the new scanner” and click “Add scanning device (QR)”.
  3. For a device that is already paired, switch its venue to “Staff picks” in the device list.

Can I see numbers per venue?From the Growth plan

Yes. The venue switcher in Overview filters the scan statistics, the customer list and both CSV exports, and the selection is kept in the link, so you can save it or send it to a shift lead; you'll also find a venue comparison in “What Walio brought you” and a “By venue” section in the monthly report. The “Active cards” and “Campaigns sent” tiles stay account-wide, because the card limit is shared across the whole network.

  1. Open Overview.
  2. In the “Venue” switcher at the top, pick a venue, or “All” for the whole network.

Integrations

How do I connect a WooCommerce shop?

Once an order is paid, the WooCommerce plugin issues a ticket to Apple and Google Wallet (on every plan, as long as “Events and tickets” is on in Settings → Profile) and, from the Pro plan, adds stamps for the purchase. It starts in test mode, where it sends nothing and only notes on the order what it would have done; if the customer doesn't have a card yet, their stamps wait for 90 days and are added as soon as they save a card with the same e-mail or phone number.

  1. In Settings → Integrations, click “Download plugin” under “WooCommerce plugin”.
  2. Upload it in WordPress via Plugins → Add New Plugin → Upload Plugin.
  3. Under “API integration”, fill in “Key name”, tick “Loyalty stamps for purchases” if you want stamps, and click “Create key”.
  4. Copy the key right away (it won't be shown again) and paste it in WordPress under WooCommerce → Walio.
  5. For stamps, turn on loyalty stamps in the plugin and set up and save your rules under “Stamps for purchases” in the portal – without rules, nothing is added.
  6. Once the order notes show everything is right, switch the plugin's mode to live.

Reports and statistics

How do I know whether Walio is worth it?

From the Start plan, Overview has a “What Walio brought you” section: estimated revenue from registered customers, how many of them come back and how many rewards they redeemed, plus how many times over the plan price has paid for itself (e.g. “31× the plan price”). Revenue is counted only from each customer's second visit, because the first would have happened even without a loyalty card.

  1. Open Overview and look at the “What Walio brought you” section.
  2. To make the estimate fit your venue, fill in “Average spend per visit (Kč)” in Settings → Card.

What is the monthly report e-mail?From the Growth plan

From the Growth plan, you get a monthly e-mail summary of activity, push campaigns, scanning and customer loyalty – with several venues, also broken down by venue. It lets you follow the trend without signing in to the portal.

  1. Open the Automation tab and scroll to “Management reports”.
  2. Turn on “Automatic monthly report”.
  3. To send the report to someone else as well, fill in “Copy to another e-mail (optional)”.

Account and payments

How do I change my payment card?

You change your payment card in the Stripe billing portal, which you open from Settings → Payments (the button is shown only if you pay by card). Your invoices are also listed under “Payment history” on the same page.

  1. Open Settings → Payments.
  2. Click “Manage card and invoices →”.
  3. Enter your new card in the Stripe billing portal.

I pay by invoice – can I switch to a card?

Yes. Email podpora@walio.cz – you'll find a link with the subject already filled in under “Current payment method” in Settings → Payments – and we'll move you to card payments within 24 hours.

Can I change my plan?

Yes. If you pay by card, you change your plan yourself in either direction: a higher plan applies right away and you pay the pro-rated difference, a lower one from your next invoice; if you pay by invoice, you can order a higher plan yourself and we bill the difference to the end of the paid period with a proforma invoice, while a move to a lower plan is handled by support at podpora@walio.cz.

  1. If you pay by card, pick the new plan below the header on the portal's main page and choose the billing period under “I want to pay”.
  2. Check the summary – what you pay now and when the new price starts – and confirm with “Change plan to …”.
  3. If you pay by invoice, choose a higher plan in Settings → Payments and confirm with “Issue a proforma for … Kč”; we switch the plan on once it is paid.
  4. To move to Free when paying by card, use “Switch to the Free plan (free)” in Settings → Payments – it takes effect at the end of the paid period, as long as your account fits within Free.

Can I pause my account for a while, for example over winter?

Yes – on a paid plan, the account is paused from the end of the paid period and starts again on its own on the date you choose (up to 6 months ahead). In the meantime we don't bill you and no stamps or new cards are issued, but customers keep their cards and collected stamps.

  1. Open Settings → Payments.
  2. Click “Pause the account temporarily”.
  3. Pick your return date under “When do you want to be running again?”.
  4. Confirm with “Pause the account”.
  5. You can cancel the pause at any time with “Cancel the pause and resume now”.

What happens when I reach my card limit?

Once you reach the limit, cards are still issued for a while from a reserve (10% above the limit); when that runs out too, no new cards are issued and a customer at the counter sees that capacity is full. Cards already issued, stamps and rewards keep working, and we warn you in the portal and by e-mail as you get close to the limit.

  1. Keep an eye on the “Active cards” tile in Overview – it shows your plan's limit and how many cards are left in the reserve.
  2. Raise the limit by moving to a higher plan (Pro has unlimited cards); on the Growth plan, each additional paid venue raises it too.
  3. You can also free up room by deleting customers who don't use their card – with “Delete customer” in their detail.

How do I change my billing details (company ID, address)?

Billing details (company, company ID, address) are changed by support – email the new details to podpora@walio.cz and we'll apply them to new invoices within 24 hours. The e-mail address invoices go to you can change yourself under “Send invoices to” in Settings → Payments.

  1. Open Settings → Payments.
  2. In “Billing details”, click “Edit →” – a pre-filled e-mail to support opens.
  3. Add the new details and send the e-mail.

What if I want to leave?

There is no lock-in: the contract ends at the end of your paid period, and subscription fees already paid are not refunded. Your customers' cards then stop working, and we delete their data within 30 days or hand it over to you – if you're only closing for the season, you can pause your account instead.

  1. Before you leave, download your customer list in Overview with “Download CSV”.
  2. Email podpora@walio.cz to say you want to end the contract.

Security and GDPR

Who has access to my data?

Only you can get into your account, with your own sign-in; staff using a scanner device can only scan and can't reach any data in the portal. We (Walio) have service access for support and bug fixes. About your customers we store only the necessary minimum – name, e-mail, stamps and visits, plus phone number or date of birth only if you choose to collect them.

How do I sign in with my fingerprint or face?

A passkey signs you in with your fingerprint, face or device lock instead of a password. Your password stays as a backup way to sign in.

  1. Open Settings → Profile and find the “Security (passkey)” section.
  2. Click “Add passkey” and confirm with your fingerprint, face or device lock.
  3. Next time you sign in, choose “Sign in with a passkey” instead of entering your password.
  4. Add a passkey on every device you sign in from; you can “Rename” or “Remove” it in the same section.

What if a customer asks me to delete their data (GDPR)?

You delete the customer yourself in the portal: they disappear from the list and their card shows as voided in the Wallet, though we keep the visit history for statistics. If they want their data removed from our database entirely, email podpora@walio.cz with their e-mail address – we handle it within one month, as GDPR requires.

  1. In Overview, open the customer's detail from the customer list.
  2. Click “Delete customer” and confirm with “Yes, delete”.
  3. To remove the data completely, email podpora@walio.cz with the customer's e-mail address.
